Setting up a Payroll gift as an individual

Payroll Giving is a simple way for individual employees to donate to charity directly from their gross pay. All you do is check with your employer if they have Payroll Giving set up, tell them you want to start making donations from your salary, and pick your charity and donation amount. Any UK registered charity can be supported in this way.

If you’re employer hasn’t got Payroll Giving set up, it’s very straightforward for them to do it – you can point them in our direction or to any Payroll Giving agency. There are lots of benefits to employers having Payroll Giving.

Tax-efficient giving

Because you are donating from your gross pay (i.e. before any tax has been deducted), you don’t pay any tax on your donations. This ultimately means the donation could cost you less than if you donated in the usual way, via a direct debit donation or ad hoc.

It’s also an efficient, hassle free way to support a cause you care about, and you can cancel your donation at any time.

We now support over 1,000 young people each year to avoid or move on from homelessness in Scotland, that’s a 40% increase on just three years ago.

We couldn’t have done that alone. Our regular givers have been right there with us, believing in our vision of a Scotland where no young person is left behind.

How to set up Payroll Giving if you’re an employer

1. Choose and register with a Payroll Giving Agency 

A business must work through a government-approved Payroll Giving Agency.

These agencies distribute donations to charities on behalf of employers.

Common PGAs include:

  • Charities Aid Foundation (CAF)
  • Charitable Giving
  • Benevity / Workplace Giving providers

2. Integrate Payroll Giving into your payroll system

Your payroll/finance team (or provider) updates your payroll software to:

  • Deduct employee donations from gross pay (before income tax)
  • Send the total monthly donation amount to the Payroll Giving Agency

Most major payroll systems already support this (Sage, Xero, BrightPay, etc.).

3. Inform your employees and launch the scheme

Payroll continues to run as normal and employees sign up as and when they want to.

4. Optional employer match

Adding an employer match is a great way to enhance impact and support employees in their giving.
